TailorTalk Dashboard: Manage your Customer Interactions

The Leads Dashboard is the central hub where you can view, manage, and interact with all leads in your system. It provides an overview of lead details, statuses, and their latest interactions.

Features of the Leads Dashboard

1. Lock Lead

Leads can be locked to prevent the AI agent from responding to them automatically. This is useful in cases where human intervention is required, or when a lead should no longer be engaged.

text
  • How to Lock a Lead: Select the checkbox next to a lead and click on the lock icon. This will prevent further automated messages to that lead.
  • Why Use This? If a lead requires specific handling, locking prevents unwanted AI responses.

2. Message Lead

You can manually send messages to leads by clicking on their contact number. This opens the chatbox where you can directly communicate with the lead.

text
  • How to Send a Message: Click on the phone number in the lead list, which will open the chat interface.
  • Use Case: This feature is useful when a lead requires assistance which is beyond AI capabilities.

3. Quick Responses

Quick Responses allow agents to send pre-defined messages instantly by typing / in the chatbox. This streamlines communication for frequently asked questions or standard greetings.

Quick Responses Interface
  • How to Use: Type / in the message input field to see a list of available quick responses. You can use the arrow keys to navigate and Tab or Enter to select a response.
  • Managing Responses: Click on Add More within the quick response list or manage them via the Quick Chat Responses dialog to add, edit, or remove messages.
  • Why Use This? Saves time and ensures consistency in communication.

4. Smart Columns

Smart Columns allow you to customize the lead table to display the most relevant information for your business needs. This ensures a clear and organized view of the key lead details in one place.

text
  • Customization: You can configure which columns appear based on the attributes that matter most to your sales pipeline.
  • Why Use This? Helps organize data better by focusing on the key metrics that drive conversions.

5. Export Data

You can export the entire lead data into an Excel format for external analysis and reporting.

text
  • How to Export: Click on the export button and select Period(days/month) to download lead data in a structured format.
  • Why Export? Useful for keeping offline records, sharing with sales teams, or conducting advanced data analysis.

6. Lead Insights

The dashboard allows you to ask for lead insights directly from the system. You can inquire about key business trends and customer behavior.

text
  • How to Ask Insights: Click on the Ask Me button and type questions like “Why are my leads not converting?”
  • Why Use This? Helps in decision-making by providing data-driven insights into customer engagement patterns and sales bottlenecks.

7. Categories: Sales, Support and Others

Not everyone who messages you is buying. Your agent reads each conversation and sorts every lead into one of three categories, shown in the Category column:

  • Sales — wants to buy, book, or is asking about products, prices or availability. This is where every lead starts.
  • Support — an existing customer asking about an order already placed: where it is, when it arrives, a return, a refund or a complaint.
  • Others — not a customer and not trying to become one: influencer and PR outreach, job applicants, vendor pitches, spam.

The category is re-decided as the conversation goes on, so a customer who buys and later asks about delivery moves from Sales to Support on their own. Closing a sale never counts as support — someone saying they have paid is still Sales.

8. Statuses

Which statuses a lead can have depends on its category:

Category Statuses
Sales The statuses you configured in Agent Settings — by default Cold, Warm, Hot, Converted, Dead — plus any manual tags
Support Open or Resolved
Others A short label your agent writes for that lead, such as influencer collab, job enquiry or wholesale enquiry, because what turns up differs from business to business. Anything that is genuinely spam is always labelled spam

Sales statuses appear as filled chips, support statuses as outlined chips, and the Others labels as plain text — so a glance down the column tells you how much each row is asking of you, before you read a word.

Leads labelled spam are locked automatically after one reply, so your agent stops answering them. Their messages still arrive and stay visible in the dashboard, so if something was called spam by mistake you can simply unlock it and carry on.

Follow-ups only chase Warm and Hot sales leads, so support questions and noise never receive sales follow-ups.

9. Converted customers

A green tick beside the status means that lead bought from you at some point. It stays for good, so a customer now sitting in Support with an Open question still shows as someone who has already paid. Hover the tick to see when they converted.

This is why Converted is its own filter rather than just a status — it finds every customer who has ever bought, including the ones whose current status has moved on.

10. Filtering

All filters sit in one row above the table.

Leads dashboard filters, categories and statuses
  • All / Sales / Support / Others — pick a category, or All to see everything.
  • Converted — customers who have ever bought.
  • Status — grouped by sales statuses, support statuses, blocked, then your manual tags.
  • Source — WhatsApp DM, Instagram DM, website chat and so on.
  • Escalated — leads your agent handed to a human.
  • Remarks — leads you have added a note to. Only appears once notes exist.

Filters that cannot sensibly combine clear each other, so you never end up with a query that returns nothing. A status already names its own category — choosing Open shows your open support questions on its own, with no need to pick Support as well.

Clear all appears at the end of the row whenever a filter is active.

By leveraging these features, businesses can efficiently track and engage with leads, improve conversion rates, and streamline their sales processes.
